Wedding Venue Costs: The Hidden Fees Couples Don't Expect

Planning a wedding is exciting... until you start comparing prices.
One venue is £3,500. Another is £8,000. A third won't tell you the price until you've booked a viewing.
It can feel impossible to work out what's actually good value.
The reality is that a venue's hire price is only part of the story. The final cost of your wedding depends on what's included, what's expected and what you'll need to hire separately.
Here's what many couples don't realise when they first start comparing venues.
A Lower Venue Hire Doesn't Always Mean a Cheaper Wedding
It's easy to compare the headline venue hire price, but that's only one part of the overall budget.
A venue that appears £2,000 cheaper may require you to hire everything separately, while another venue includes many of those items as standard.
The best question to ask isn't:
"How much is the venue?"
It's:
"How much will it cost me once everything is included?"
Hidden Costs to Watch Out For
Furniture Hire
Some venues provide tables and chairs.
Others provide very little—or charge extra for upgraded furniture.
Hiring tables, chairs, linen and other essentials separately can quickly add hundreds—or even thousands—of pounds to your budget.
Bar Costs
Every venue has a different approach.
Questions worth asking include:
Is there a staffed bar?
Is there a minimum spend?
Are drinks reasonably priced?
Can guests pay individually?
Is there a corkage fee?
Understanding this early helps avoid surprises later.
Staffing
Some venues include event staff as part of the venue hire.
Others charge separately for:
Venue setup
Clearing tables
Bar staff
Security
Evening staff
These costs aren't always obvious when comparing venues.
Cleaning Fees
Some venues include cleaning in the hire fee.
Others charge an additional cleaning fee at the end of the event—or expect the venue to be left in a specific condition.
It's worth checking before you sign a contract.
Decoration Restrictions
You may have a beautiful Pinterest board, but not every venue allows:
Candles
Hanging decorations
Confetti
Fire pits
Sparklers
If these are important to you, it's worth asking before you book.
Supplier Restrictions
Some venues work with preferred suppliers.
Others insist you only use suppliers from an approved list.
Some venues may also receive commission or referral fees from recommended suppliers. There's nothing wrong with that, but it's worth asking whether you're free to choose the people you really want to work with.
Time Limits
One of the most overlooked costs is timing.
Ask questions like:
What time can suppliers access the venue?
What time does the music have to finish?
What time do guests need to leave?
Is there a charge if the day overruns?
Extra hours can sometimes come with additional fees.
VAT
This catches more couples out than you'd think.
Always check whether prices include VAT or whether it will be added afterwards.
A quote can suddenly become 20% more expensive if VAT hasn't been included.
The Cheapest Venue Isn't Always the Best Value
Every couple has a budget, and we're big believers in spending it where it matters most.
Sometimes the lowest venue hire really is the best option.
But often, once you've added furniture hire, staffing, equipment, bar facilities and other extras, the "cheaper" venue isn't actually cheaper at all.
Looking at the total cost and what's included; this will help you make a much more informed decision.

Our Advice
When you're visiting venues, ask for a complete breakdown of costs rather than focusing solely on the headline hire fee.
It makes comparing venues much easier and gives you confidence that there won't be any unpleasant surprises later.
Every venue is different, and there isn't a right or wrong choice—only the one that's right for you. The important thing is knowing exactly what you're paying for before you commit.
